Station Checklist for Rock Art Show

 

  • Order phone lines for Art Show (one for credit card transactions) and a separate line for Radio Station live broadcasts one months before the event.
  • Send press release to newspapers two weeks before the show, follow up with phone calls.
  • Assign two interns to help set up the show and two to return and break down the show.
  • Banner the event.
  • Plan for live broadcasts.
  • Invite staff to see the event.
  • Involve the charity. Get them to bring their key supporters to the opening night reception.
  • Set up interviews for morning or afternoon show with art show representatives or showcased photographers (such as Henry Diltz or Baron Wolman).
  • Work on special TV stories one week out. Example: Get handwriting analyst to look at art and give a profile of the celebrity.
  • Go on-air with promos/liners and web site two weeks before show opening.
  • Get caterer for opening night reception
  • Send out invitations with RSVP to opening night party at least two weeks in advance. Follow-up phone calls should be place to key clients and media.
  • Come up with activities, contests, appearances, etc. on weekdays to drive traffic into show during off peak hours
  • Set up radio live broadcast during the show Saturday and Sunday.
  • Put tags or mentions on log on songs played by artists who are represented in the Art Show. For example, if playing a David Bowie song on the log, note on the log that David Bowie’s art will be featured at the Rock Art Show. This is a way to weave mentions of the Art Show into everyday programming without becoming too intrusive.
  • Think about printing a program or an art list that can be used as a handout to listeners. This is also a way to give sponsors a print ad or coupon that can be given out.
